Direct billing means HeyStay invoices your company, insurance carrier, or TPA (third-party administrator) directly for monthly housing costs. The employee or occupant is not required to pay rent and submit for reimbursement. One monthly invoice goes from HeyStay to the billing entity, and payment flows directly between them. Call 918-992-0533 for assistance.
From a company’s perspective, direct billing for employee housing eliminates the administrative burden of expense reports, reimbursement processing, and the financial float that employees experience when paying housing costs and waiting for reimbursement. A relocating engineer who needs 90 days of bridge housing should not be advancing $7,000 to $8,000 of housing costs on personal credit cards while waiting for reimbursement cycles.
Direct billing also creates clean financial documentation for the company: each monthly invoice is a discrete, documented housing expense tied to the employee name and housing period, easy to reconcile against the relocation budget or project cost account. For companies managing multiple simultaneous placements, HeyStay can issue consolidated invoices covering multiple properties on a single billing cycle.
For ALE insurance placements, direct billing is the correct mechanism because it eliminates the policyholder’s financial exposure entirely. The ALE coverage is designed to make the displaced family whole — not to create a cash flow burden where they pay and wait for reimbursement. Direct billing implements the coverage correctly.
For adjusters and TPA coordinators, direct billing with HeyStay creates a clean paper trail in the claim file: each monthly invoice is tied to the claim number and ALE period, the rate is documented and approved, and there is no ambiguity about what was paid and what remains in the ALE limit. This makes the claim file cleaner and reduces the back-and-forth that manual reimbursement arrangements create.

HeyStay bills employers (any company with a valid accounts payable process), insurance carriers (State Farm, Allstate, Farmers, USAA, Liberty Mutual, Oklahoma Farm Bureau, and others), TPAs (Sedgwick, Crawford & Company, Gallagher Bassett, Alacrity Solutions, and others), and staffing or healthcare agencies managing travel nurse housing stipends. If your company or carrier has an AP process, HeyStay can bill them.
Email corporate@heystay.com with: the company or carrier name, the AP contact name and email, the billing address, and any PO number or cost code required for invoicing. For insurance placements, include the claim number and adjuster contact. Billing is typically established within one business day.
Each monthly invoice includes: property address, billing period, monthly rate with itemized breakdown (housing, utilities, WiFi, housekeeping), occupant name, claim number or PO number as applicable, and HeyStay’s contact and payment information. Invoices are structured to meet the documentation requirements of corporate AP departments and insurance claim files.
Yes. If an employee moves in before billing is formally established — as sometimes happens in urgent placement situations — direct billing can be set up retroactively within the first billing period. The first invoice is issued once billing is confirmed, covering the full period since move-in.
